  • Outsourcing is the subject of a Law Society Practice Note of April 2015. It provides an overview of outsourcing, with examples of outsourcing activities, and other relevant information on confidentiality, management of your practice and risk assessment. There is nothing more recent than this.

  • The Cloud Industry Forum (CIF) was established in 2009 to provide transparency through certification to a Code of Practice for credible online Cloud service providers and to assist end users in determining core information necessary to enable them to adopt these services.

    Acorn Legal provides an outsourced legal accounts service aimed at sole practitioners and smaller firms. The practice does not need to employ a cashier, purchase software or undergo training. A fixed monthly fee covers all accounts postings and regular reporting, including reports such as quarterly VAT figures. Online access is also available for ledger enquiries, time recording and custom reports. A comprehensive report pack is provided at the end of each month and a more detailed pack at the year-end which the firm can hand straight to the reporting accountant.

    Advanced offers Cloud Solutions and Managed Services for solicitors, barristers and coroners. They are used by over 400 legal firms in the UK as well as users in many other sectors. They have extensive technical knowledge of the IT requirements for law firms due to their history of taking over several key legal software suppliers in past years. Although experts in hosting their own legal software solutions, their platform is designed to handle any application software that is compatible with cloud hosting. Advanced also offers a complete disaster recovery solution. The software can be hosted by Advanced or run in-house.


    Bar Squared provide LEX Chambers Management - a complete software solution for Barristers Chambers, now live in over 200 chambers. The software runs through Microsoft SQL server and web browsers so is quick to deploy and can be used easily whether in chambers or remotely. Facilities offered include Multi-view Diary, Case Management, Fees and Billing, Graduated Fees, Workflow, Drill Through Reporting, Marketing, CRM (client and prospective solicitors), Solicitor profiling, Mail Merge, Campaign Management, Diary to Exchange to Blackberry/Windows Mobile, Practice Analysis, Document Management, Time Recording, LEX for Mobile, and System Resilience.


    C-Track is Thomson Reuters' court management and filing solution designed to capture, track, process and report on court information and keep cases moving through the judicial process. The web-based software, designed to solve the complexity of appellate and trial court case flow, can be configured to operate with multiple agency or partner products and systems to ensure a seamless and efficient workflow solution. The software has been developed and extended over a 15 year period and deployed in multiple courts throughout the US and in the UK. In the UK, C-Track has been deployed to deliver the CE-File Service (for electronic filing and fee payments) for HM Courts and Tribunals Service, initially for the 4 High Court jurisdictions operating from the Rolls Building in London.

    Chrome River is a hosted online expense claim and purchase ledger processing system for law firms. The user can log in over the internet and enter expense/invoice against the appropriate matter or project number. Invoices/receipts are scanned in and attached to the entry. It also integrates with credit cards. 70% of the AMLAW 100 are Chrome River clients. The company is based in the USA but has expanded into the UK.

    Clio provides a cloud based legal practice management software for law firms. Using Clio's apps, lawyers can manage their case files, invoicing, and communications securely from mobile phones, tablets, and computers. Clio originates from Vancouver, with additional offices in Toronto, London and Dublin. Clio is offered as a member benefit through the Law Society of Scotland, Leeds Law Society, and the Institute of Legal Finance Management, as well as used as a teaching aid in 17 universities across the UK.

    Converge Technology Specialists is the country’s only dedicated cloud computing provider for law firms. Founded in 2006, Converge TS provides a secure, fully managed cloud service which is used by innovative law firms throughout the UK to drive productivity, enable flexible working and boost growth. As a Thomson Reuters Elite Alliance Partner, Converge TS has over ten years of experience hosting key legal applications.


    Denovo Business Intelligence provide a product called Denovo Intelligent Cloud, one of the company's "Intelligence" range of software, covering accounts, time, legal aid, diary and other aspects of the firm's work. Users can also access their electronic files through their smart phone, iPad or laptop.

    DPS Software offers law firms a very well established hosted IT solution and has become the largest legal cloud provider in the country. Providing all the standard and specialist applications that a law firm would need along with technical support and hardware maintenance, dpscloud relieves the practice from the responsibility of maintaining their IT. DPS received their certificate of accreditation to the ISO/IEC 27001:2013 international standard for information security management in 2015 and are also Cyber Essentials certified, hosting and protecting the data of over 120 legal businesses, nation-wide.     Easy Convey is a web-based conveyancing case management system designed specifically for small firms, generally with less than 10 fee-earners. There are several products involved, that can fit together in various ways. The firm runs the case management software (Conveyancing Administration Software Application, or CASA for short) on their own system and can then provide case tracking information for their clients by exporting data to a secure site managed by Easy Convey. This case tracking process is called Track-A-Matter and can be customised to provide a style chosen by the firm. Online quotations can also be provided. The system can use any of the NLIS channels for the searches and also includes a gazetteer of over 25,800 towns, villages and districts linked to their local authority and district land registry.

    Eclipse Legal, part of Capita Plc, is a leading provider of Case Management, Practice Management, Matter Management and Process Management Software, used by over 25,000 professionals and the only solution of its type to be Endorsed by the Law Society. The latest product is HotDocs Cloud Services, a cloud-based platform that facilitates the embedding of HotDocs automated document generation technologies into an organisation’s own process systems, such as a corporate website or a Business Process Management (BPM) defined workflow. This is a subscription service that customers can start using immediately, benefiting from all the latest features, with no need for upgrades or maintenance.     International Law Firm Solutions (ILFS) helps independent law firms build their international business by establishing and expanding their credibility in international markets through various channels, including the maximisation of ranking and coverage in Legal Directories, targeted media campaigns, successful awards and conference programmes, and meetings with key prospects.

    InTouch Conveyancing Software is a complete cloud conveyancing case management solution that provides the automation tools for conveyancers to run an effective, profitable practice. There is an ergonomic, easy to use interface and a very cost effective price. There are no minimum contracts, no servers to maintain and no software to install. InTouch provides a client focused conveyancing service; clients notice the improved communication and information available to them.     LawCloud is a complete practice, matter and case management system with integrated accounts and CRM components which is hosted entirely on the cloud. The software is available at a fixed low monthly cost, offering flexibility, scalability and security for law firms and solicitors in the UK. The company has over 350 UK law firms using its legal software. The software is particularly good for solicitors in the UK who are looking to start up a new law firm as well as existing traditional small or medium sized firms looking to modernise.     Legalesign is a leading UK electronic signature company and a Crown Commercial Supplier, fully compliant with all US, UK and EU advanced electronic signature laws and ISO 27001 certified.     myhrtoolkit is cloud software designed for small and medium sized businesses to streamline the HR function with easy-to-use human resources tools. Holiday requests, absence management, appraisals, tasks, reports, HR documents, messaging and reminder notifications can all be managed online.     Nasstar PLC provides Hosted Desktop and Hosted Exchange cloud computing services, delivering Windows desktop, Microsoft Office, Exchange/Outlook email, BlackBerry and other applications in the cloud with a simple usage based payment model. Nasstar Hosted Exchange hosts your email on its Exchange platform and you can access your email, calendar and contacts from anywhere. Email, calendar and contacts are all synchronised automatically, protected against viruses and spam and backed-up daily. Nasstar plc was established in 1998 and is now traded on the London Stock Exchange AIM.

    Node4 is a UK-based Cloud, Data Centre and Communications specialist providing effective and flexible application of technology. In addition to offices in Reading, Newark and London, they own and manage Data Centres located in Derby, Leeds and Northampton, as well as having dedicated space in a Slough Data Centre. The Data Centres are connected using Node4’s national fibre network, recently upgraded with a multi-million pound installation of DWDM, which includes points of presence in Manchester and London, as well as interconnects to major UK carriers.     Osprey Legal Cloud is a web based practice management system for law firms from Pracctice Ltd. They have a portfolio of around 600 clients ranging from single user installations to firms with over 500 staff. The software includes all of the elements that any law firm would require including Legal Accounts Software, Case Management and Practice Management. All programs and data are stored in Osprey's secure data centres with users accessing their systems via a broadband type internet connection. This approach removes the need for firms to supply any dedicated hardware, onsite servers, expensive database licences and complicated communication links.

The Platform is hosted in the cloud and can be accessed securely by customers, business partners and staff 24/7 from anywhere in the world. Applications include Case Management, Practice Management , Legal Accounts & Intelligent Financial Management, Business Intelligence & Reporting and Customer Relationship Management.

    Perfect Portal is a Conveyancing Sales Management System that enables conveyancing professionals to generate more conveyancing instructions. The system generates quotes for prospective clients, whether they are working in the office or are using a mobile device on-the-move. Quotes include legal fees, stamp duty and search fees. Their cloud-based offering blends robust data security with accessibility and comes without a hefty investment in hardware or maintenance support contracts. They are a certified, approved and trusted implementation partner of NetDocuments and DocsCorp. They have over 20 years experience helping firms with their document management and document collaboration requirements. They provide a full range of implementation, data take-on, training and support services.

    Privitis provides a secure, complete and useful record of professional communications and ends the reliance on email to keep track of important communications. It is unique in its ability to meet the confidentiality needs of users from different organisations, facilitating correspondence between them while also managing the separate private and internal communications that need to take place and be recorded.     Professional Technology provides legal practices with the latest technology without them having to invest heavily upfront in hardware or software licenses. Both the company’s Seriatim case management and Quaestor financial management systems can be provided on a hosted basis along with the latest versions of Microsoft Office (Word, Excel, PowerPoint, etc.) and Microsoft’s Exchange Server mailboxes. Costs start from £50 per user per month for the full PureCase suite. There are no up-front costs or long-term contracts and all training is provided free of charge.

    Quill is a well established private company in the legal sector. Formed in 1978, with offices throughout England and Scotland, they specialise in supplying cloud software and outsourced services to legal firms and professional companies. They have 95 staff (50 being legal cashiers). Their hosted legal accounts, practice, case and document management system (Interactive) is used by nearly 5,000 solicitors, cashiers and support staff, and their outsourced cashiering service (Pinpoint) by over 300 law firms. Quill also has an outsourced payroll division which processes 4,000+ payroll calculations per month. With Interactive, there’s a monthly fee covering everything from the software, hosting, BC & DR planning and technical support. With Pinpoint or Payroll, an additional fee applies for an assigned legal cashier or payroll clerk. The Quill infrastructure spreads across three sites in the UK and is centrally managed from the Manchester head office.

    Riliance is a leading web based risk & compliance system for the legal market and other professional markets.     Select Legal Systems was one of the first legal software suppliers to offer a cloud solution to the legal marketplace, called LAWFUSION Direct. For a monthly fee, the user gets a full suite of legal practice management software as well as fully integrated Microsoft Office and Exchange products, all hosted securely on the cloud. The software is also available as a traditional on-premise installation. There is a video available on the Select Legal website featuring interviews with law firm owners and senior execs on the reasons why they have chosen either cloud or on-premise for their legal businesses. The software is ISO 27001 certified at a company level and the LAWFUSION Direct cloud datacentre is also certified. is a well established Stamp Duty Land Tax (SDLT) form e-submission service. Available as desktop or cloud. Integrates with leading Case Management providers. Future proofing property professionals by providing solutions for Property Tax in Scotland (Land and Buildings Transaction Tax – LBTT) and for Wales in April 2018 (Land Transaction Tax (LTT). Data entered into an SDLT form auto populates range of HMRC and Land Registry application forms.

    Signable is a UK based online service that enables documents to be legally signed online. Rather than emailing or posting the document to the signer, you can send it out via Signable and get it signed in a matter of minutes. Signers can sign on their desktop or their mobile device and the Signable service checks that the document is legally binding and secure. Apparently, the technology adheres to all regulations set out by the Electronic Communications Act 2000 requirements. There are details of the legality of electronic signatures here. There is Pay As You Go plan available or a Monthly plan and there is also a free 14 day trial available.



    Virtual Practices from SOS provides the latest .net practice and matter management software, SOS Connect. The software fully integrates with Microsoft Word and Outlook and includes customer relationship management (CRM), intuitive time recording and billing, auto document creation, matter / case management and automatic email filing. They can also provide a fully outsourced legal cashiering service. The firm's accounts are managed on-line by a team of highly skilled specialists in compliance with SAR's. They provide full bank reconciliations and financial/ business month-end reports.
